• Filters: Keep the data you want to focus on and exclude irrelevant information.
• Sorts: Maintain your preferred order of data for easier analysis.
• Groups: Organize your data into logical clusters.
• Group Expansions: Save the specific state of expanded or collapsed groups.
• Aggregations: Preserve your summary calculations and data insights.
• Column Visibility: Retain your selected columns and hide the ones you don’t need.

With Views, you can return to this exact configuration at any time with just a few clicks!

Using Views in Gigasheet

How to Create a View

Saving a View is a seamless process designed to enhance your workflow without any hassle. Follow these simple steps:

1. Customize Your Sheet

Apply your desired filters, sorts, groups, expansions, aggregations, and column visibility settings.

2. Save the View

Click on the Views button located at the top left of your screen and hit +Add New

3. Name Your View

Give your View a distinctive name that makes it easy to identify later.

4. Save View

Click the Create button, and your View is now recorded for future use.

Accessing Your Saved Views

Retrieving your saved Views is just as straightforward:

1. Open the Views Menu

Click on the Views button at the top left.

2. Select Your View

Click on the View name that you want to use and the sheet will load.

Why Use Views?

In the past, you may have created separate copies of your sheet to save different views of your data. But what happens when you change a single cell value?

Well, you would have updated that value in each individual copy of the data, creating a maintenance nightmare. Views solve this problem, allowing you to create as many presentations of the data as you desire without duplicating source data.

Views allow for:

• Efficiency: Quickly switch between different configurations without having to reapply settings.
• Consistency: Maintain a standardized way of viewing data across different sessions or team members.

Imagine you’re analyzing a list of sales leads. You may want different Views for:

• Leads by Company: A View with leads grouped by company and rating, filtered for target industries, and sorted alphabetically.

• Leads by Source and Industry: A View of the same leads as above, but focused on lead source and industry. This would be interesting to the marketing team for channel optimization.

• List of Hottest Leads: A View highlighting the top prospects, filtered to a Rating of Hot and sorted by number of Website Sessions. Get the sales reps on the phone!

With Views, switching between these perspectives is instantaneous, allowing you to focus on analysis rather than setup.

Sharing Views

Want to share your analysis with your team? Simply configure the data just how you want it and save a view. Then share it using the three dot menu beside the view name and clicking Share View via Link. This will copy the link to your clipboard.

Email or chat someone the link and they will open the sheet into the view that you created.
